POSITION: Receptionist
DEPARTMENT: Aquilini Group/Aquilini Properties
REPORTS TO: Executive Assistant/Office Coordinator & VP, Operations

First impressions are everything! Committed to premiere level customer service excellence, the Receptionist is the face of our front desk and will provide first point of contact for telephone or in-person visitors to various Aquilini Group companies located at Gate 16 in Rogers Arena. In addition to switchboard and reception coverage, the incumbent will provide administrative support to Aquilini Group and Aquilini Properties. This role requires an engaging smile and personality, flawless execution, high energy and delivery of first in class service.

Provides first point of contact for Aquilini Group (AG) companies who are located at Gate 16 in Rogers Arena (off of Griffiths Way)
Attends to all visitors and callers and provides a welcoming and professional experience both over the phone and face-to-face
Welcomes visitors and callers from the general public, internal and external clients, customers, and VIP/high profile guests
Answers, screens, and forwards incoming telephone calls in a courteous and efficient manner and accurately relays messages when applicable
Arranges for and coordinates incoming and outgoing couriers
Provides support for the AG team by assisting with property administration, purchase orders, invoices, and some legal administration
Assists with the coordination and setup of events as required
Provides general administrative support and office management, including office supply orders, preparing correspondence, mail distribution, data entry, scheduling meetings, booking boardrooms, etc
Daily runs the dishwasher at the end of the day for all L000 kitchens and empties clean dishes in the morning
Refill kitchen supplies and notify Office Coordinator for replenishment when supplies are running low
Assists with special projects as required

Property Administration

Maintains the property management records relating to the L’Authion property in Montreal, which includes but not limited to:
Maintains the rent roll for the L’Authion property
Enters new leases, Amendments, renewals and other miscellaneous transactions
Processes Montreal tenant receipts
Maintains the commercial tenant insurance and business license database
Generates key monthly reports from Skyline and archiving such information
Provides prebilling assistance and arrears assistance in due course.
Assists with drafting tenant correspondence
Other ad hoc duties as assigned

1+ years’ administrative and professional reception experience
Related post-secondary education
Ability to relate professionally to all levels of staff, guests, clients, and VIP visitors with a high level of maturity, diplomacy, and a positive demeanour
Experience dealing with premium or high-profile guests
Professional personal presentation
Previous switchboard experience
Solid working knowledge of MS Office
Excellent verbal communication skills and telephone etiquette
Ability to handle the pressure of a busy reception and maintain professionalism and confidentiality
A team player with a strong customer service focus
Highly organized and detail-oriented with an ability to prioritize duties and work independently
Demonstrates an ongoing and proactive ability to learn new skills
Knowledge of the Vancouver Canucks and Rogers Arena is an asset
