Located in the heart of Kitchener, St. Mary’s is the second-largest acute care hospital in the St. Joseph’s Health System and is a Regional Cardiac Care Centre. It proudly serves the residents of Waterloo, Wellington County, and extends its reach to Dufferin, Grey-Bruce and beyond.
Its nearly 2,000 staff, physicians and volunteers provide excellent, compassionate care to hundreds of thousands of patients and families every year in its core areas of clinical focus: Cardiac Care (Regional Cardiac Centre), Respiratory Care (Level 1 Thoracic Surgery Centre), Outpatient (Day) Surgery, General Medicine, 24/7 Emergency Care.
St. Mary’s General Hospital Foundation is a not-for-profit organization dedicated to enhancing patient care at St. Mary’s General Hospital, through the funding of vital equipment and programs.
As ambassadors for the hospital, we commit to engaging the community and providing philanthropic support for both the present and future needs of St. Mary’s.
In addition to larger capital projects, St. Mary’s General Hospital relies upon the Foundation to provide funds each year to cover costs related to on-going replacement and enhancement of standard equipment, which is not covered by Government funding.
New employees must provide documentation of a 2-step TB screening, as well as proof of immunity to measles, mumps, rubella, and varicella (chickenpox) prior to their start date at St. Mary’s General Hospital. Staff will require clearance from Employee Health and Wellness before they are able to begin any position within SMGH.

The Administrative & Data Assistant, while reporting to the President, works collaboratively with the entire staff to ensure the goals and objectives of the Foundation are met.
Manages the day to day operations of the Foundation office, including office organization, document management and inventory control
Assists with the coordination of building maintenance including opening and closing the office during operation hours
Is the first point of contact for all donor inquires, phone and in person inquiries and is responsible for ensuring all donor requests are filled in a timely and appropriate manner
Responsible for retrieving, opening and distribution of all incoming and outgoing mail
Monitoring of the Foundation General Inquiry email – response and distribution to other departments as required
Coordinates all Board/Committee/Staff meeting, including minute taking, agenda preparations, package and catering as applicable
Ensures all Foundation policies and procedures are current
Provides support to the Development team by preparing packages, background materials for meetings and presentations on occasion
Provides admin support for the Foundation Giving Circle, Staff Lottery and Pledge program
Preparation and tracking of all Sponsorship invoices
Coordinates clerical front office Volunteers
Coordinates new staff on boarding
Assistant to the President:
Ensures the effective and efficient operation of the President’s office including management of the President’s calendar, all correspondence, expense reports and filing
Uses Raiser’s Edge data base to verify donor information
Provides back up gift entry for peak times and vacation coverage
Assists Database & Donations Processing Manager with donor record updates and stewardship activities as required
Previous work experience, including three or more years of administrative experience and a College diploma in Office Administration or related field of study
Proven administrative experience and a pleasant telephone manner with a welcoming personality
Ability to maintain strong familiarity with all Foundation activities, plans and events
Ability to handle sensitive and confidential information with discretion
Extraordinary attention to detail, ability to multi-task and ability to proof-read
Ability to anticipate requests and see tasks through to completion
Advanced knowledge of MS Office – MS Word, MS Excel, MS PowerPoint. Photoshop and Illustrator an asset
Knowledge of Raiser’s Edge is an asset
