Events Manager workload is divided into three distinct components which are Broadcast, Facilities, Heights & Weights.
Broadcast component is to ensure events are being managed from end-to-end. With a successful broadcast meeting partner expectation. This role will work closely with broadcast partners, colleagues in Operations and the Customer Engagement Manager team to ensure every requirement is being managed.
Facilities is to ensure venues are being managed from end-to-end so they are successfully broadcasting (or Private Broadcasting) and the partner expectations are being met. This role will work closely with facility partners, colleagues in Operations and the Customer Engagement Manager team to ensure every requirement is being managed.
Heights & Weights component is the to ensure information relating to players are being gathered when attending an event. This information is provided to the Content team for input and management.
Work closely with the Customer Engagement Manager to facilitate all needs for events;
Maintain a contact list of global contractors whom would provide support to a successful broadcast;
Maintain a master list of suppliers that provide equipment, staffing;
Coordinate travel requirements for event staff, contractors or suppliers, keeping aligned with budget;
Manage event scheduling and engage/communicate with internal staff to implement and publish;
Manage graphics needed for events;
Coordinate with Promotions/Marketing team to promote and raise awareness of event;
Coordinate with event contacts to promote event through the use of email, signage, advertisement or social media;
Manage all costs associated with an event and store in documents or Zoho Projects;
Manage payment approval process for contractor and suppliers;
Manage close down process or review of event once completed.
Manage venue event scheduling and engage/communicate with internal staff to implement and publish;
Manage graphics needed for events at venues;
Coordinate with Promotions/Marketing team to promote and raise awareness of venue event;
Coordinate with venue contacts to promote event through the use of email, signage, advertisement or social media;
Generate reports relating to venue’s, subscription numbers, and revenues generated;
Escalate issues as they arise, through to colleagues, to the Customer Engagement Manager or management.
HEIGHTS & WEIGHTS
Coordinate schedules for Height & Weight event;
Coordinate resources needed;
Coordinate travel and accommodations when necessary;
Coordinate data being captured;
Ensure data captured is entered into systems.
Generate reports relating to status when required;
Escalate issues as they arise, through to colleagues;
Manage the entire process flow through the use of Zoho Projects and other documents required;
Recommend improvements for process flow to gain efficiencies;
Manage yearly budget to align with strategic business plans;
Be available outside regular hours of operation to address issues or work through processes.
There will be two resources in place for this role. During the hockey season, which is identified as September 01 through to April 30, will see one type of a shift as represented below.
Tuesday through Saturday
0900 - 1700 or 1000 - 1800
Sunday through Thursday
0900 - 1700 or 1000 - 1800
Split efforts to be available during event on Saturday and Sunday.
Shift times can change during off-season or when events are not running.
Reports directly to the Chief Operating Officer.
Indirect reporting to the Senior Manager, Customer Engagement.
