About MRU

About the Role

This position provides senior administrative support primarily to the Vice-President Finance and Administration and the Executive Director of Internal Audit, and works in coordination with the Executive Advisor to the VP Finance and Administration.

This position will maintain a high level of discretion at all times while performing the necessary triage required to handle a broad spectrum of issues across all levels of the University. Acting as a key contact to the Finance & Administration office, the Executive Assistant will be a resource to others within and outside the office, establishing and maintaining professional relationships that support exceptional collaboration and problem solving. This position reports directly to the Vice-President Finance and Administration.

Responsibilities
Represent the University and the Finance & Administration division with professionalism and poise, dealing with issues and solving or referring problems as they arise.
Strategic management of calendars, creating a balance between meeting and office/work time, reflecting realistic priorities and allowing flexibility for fast changing agendas.
Assist with onboarding, job postings and termination processes specific to the office of the VP Finance & Administration.
Manage information and correspondence, triaging all incoming information based on expert knowledge of priorities within the portfolio, and deal with items appropriately.
Work closely with the other executive assistants to provide comprehensive support to the portfolio, work as an integral part of the team in the broader office, and initiate a unified and shared approach to work including supporting reception of guests to the Executive Offices
Ensure the VP, AVPs or Directors are aware of any pressing issues in a timely and judicious manner.
Manage assigned projects, establishing and maintaining collaborative relations and putting them to best use in achieving desired outcomes.
Coordinate the planning of meetings and events, including scheduling, booking rooms and equipment, catering and making travel arrangements if necessary
Directly support the portfolio in special projects and initiatives including interpretation of information, attending meetings if required, and in coordination with divisional leaders ensure appropriate representation of the Finance & Administration office both internally and externally.
Conduct meeting preparation for the VP, and work with AVP’s to ensure meeting material is up to date, relevant and organized.
Draft and prepare confidential correspondence, presentations, briefing documents with accuracy and maintain an effective filing and bring forward system.
Assist in data gathering as needed for internal audit activities.
Compile information and materials into professional packages for submission to the Board of Governors and Board Committees, and senior management governance bodies and committees.
Handle travel arrangements, including preparing pre-travel authorization and submitting travel expenses.
Review invoices and submit expense reports for approval, as well as preparing required expenditure disclosures.

Qualifications
Bachelor degree or equivalent in combination with 6 – 10 years of related experience
Excellent organizational skills with experience dealing with a wide variety of demands in a Division, e.g., effective scheduling, record keeping, minute taking filing, process management.
Up-to-date technology skills as well as budget training are required to deal with various budget responsibilities.
Employ sound judgment, professionalism, the ability to complete tasks with little supervision and the confidence to be proactive.
Strong time management in conjunction with the ability to prioritize work, and reevaluate priorities regularly.
Exhibit excellent customer service, communication skills and ensure a positive professional image is maintained.
Proficiency in standard office technologies, such as MS Office, Google applications, FAST, Chrome River.
Post-secondary administrative experience and budget training would be an asset.
