Overview

The Executive Assistant provides administrative support to the company’s senior leadership team and the President & CEO. Professionalism, time management, systems/technical abilities and organization skills comprise key components of this role. This role requires excellent interpersonal skills, confidence, a high level of confidentiality, and the ability to work extremely well with tight deadlines lines while managing a large workload.

Responsibilities

Administration:
Coordinate calendars - ensure effective coordination and scheduling of appointments, meetings and activities and e-mail management
Organize senior leadership meetings including but not limited to: schedule coordination, agenda preparation, set up/facilitation assistance on the day of the meeting, minutes taking and following-up post meeting to those in attendance
Ensure that all equipment required for face to face meetings, video or conference calls is available and in working order prior to the meeting
Prepare both domestic and international travel/hotel/car arrangements for leadership team as well as expenses reports
Assist with e-mail management and POs

Executive Support:
Manage and coordinate events as required by the President & CEO and the leadership team
Work closely with the President & CEO to keep informed of upcoming commitments and responsibilities
Acts as an ambassador for Executives visits, processing of expenses and travel coordination for the President and CEO as well as the leadership team
Provide a contact point for all persons to contact the President & CEO, understanding the priority of the contact and acting as an ambassador to all of the President & CEO’s contacts

Communications:
Support the communications team with tactical work on intranet, social media, employee town-halls and leadership meetings.
Maintain an up to date employee directory and contact list

Projects:
Handle special confidential projects as assigned.
Work closely with the leadership team members in managing projects and conducting research
Prepare, compose and initiate various documents for meetings

Office Operations Support:
Provide general office support as required (e.g.: answer phones, open and distribute mail, establish and maintain filing systems, etc.)
Qualifications

Education and experience

Certificate/diploma/degree in administrative business qualifications or equivalent experience
5 to 10 years of experience in an Executive Assistant role - required

Skill Set:
Strong written and verbal communication skills along with excellent proofreading and editing skills
Strong interpersonal skills and the ability to build relationships at differing levels within the organization
Proven ability to handle confidential information with discretion
Highly resourceful team-player, with the ability to also be extremely effective independently
Must be flexible, able to balance multiple tasks and changing priorities, with required urgency
Advanced proficiency with MS Word, Excel, and PowerPoint. Working knowledge of MS Project, Adobe Acrobat, Photoshop/PageMaker, SAP (asset)
Bilingual skills (English and French), an asset.
Flexibility in working hours to accommodate time sensitive work and support provided in various time zones
