Job Description

Here is how we work:
Working with all disciplines at IBI Group: Mobility+, Learning+, Healthcare+, and Living+ this role will be a key player in a small, dynamic marketing and graphics team. The successful candidate will be a proactive, collaborative team player with great attention to detail and the ability to follow and improve process.

Proposal Tasks:
Coordinate with the professional staff and marketing/graphics team to prepare proposals which includes collecting and analyzing business related information, editing and producing proposal documents
Assist with non-technical writing for proposal efforts and provide editorial oversight, including copy writing
Function as the primary point of contact, and create a submission schedule for the proposal team in regard to communications and reminders on proposal deliverables and deadlines such as custom resume alterations, additional information from subconsultants, proposal forms, etc.
Coordinate with graphic designers to design proposals and ensure a high level of professionalism and quality is communicated through content, layout and the use of visuals that is consistent with the corporate brand and vision
Maintain and update CRM and content library best practices
When needed apply proposal content to designed layouts using corporate InDesign templates, working with the Graphics team as necessary

Marketing/Communications Tasks:
Develop, edit, proof and maintain written content for marketing collateral, proposal content, project sheets, award submissions, interviews and brochures
Proofread, edit and provide quality reviews of documents prepared by other marketing and professional staff
Ensure content is comprehensive, competitive, client-specific and brand compliant
Contribute to the strategic planning and implementation of marketing initiatives such as sponsorships and special events
Liaise with graphic designers to update and produce new marketing materials, including brochures, project sheets, and presentations
Project manage external projects: coordinate team, interact with client, set deadlines, review product
Write TH!NK blogs and facilitate blog creation with professionals

Team Lead Tasks:
Act as the single point of contact for the graphics and marketing department
Prioritize the graphic, marketing, and proposal needs of each department
Distribute workload between graphic designers
Review and oversee work of all material produced by the graphics and marketing department
Motivate and inspire team to produce best work


You'll need to have:
Must have at least 2 years proposals work experience
Must have at least one year of supervisory experience in a team setting
Diploma or Undergraduate Degree in English, Marketing, Communications, Business, or another related field preferred
Experience in the architectural engineering industry is an asset
Has a good Sense of urgency with experience in managing multiple tight production deadlines in a fast-paced environment;
Ability to work effectively as a team, supporting other members in achieving business objective
A passion for document creation and production, including the assembly of content and components from multiple sources and an appreciation for content structure and graphic layout;
Comfortable coordinating and motivating multiple contributors, many of whom are senior level individuals;
Proficiency in 2016 Microsoft Word/Excel/PowerPoint
Superior English Language skills with excellent writing, editing and grammar skills;
Excellent communication, organization, attention to detail and problem solving skills;
Enthusiastic attitude and strong work ethic;
Flexibility to work with a variety of personalities;
Able to work outside of normal business hours to meet delivery schedules;
Work efficiently and handle stressful situations with professionalism and composure
Strong multi-tasking and time management skills;
Ability to read an RFP and pull out the key pieces in order to streamline processes
Quick learner with the desire to continually learn and grow
Working experience with InDesign considered an asset

Additional Information

Office description:
The Edmonton office is located in the downtown core area close to the LRT with multiple restaurants and two gym's across the road from the building.
