Durham College is seeking an experienced Executive Assistant to provide senior-level executive support in the Office of the Vice President, Academic. Reporting to the Vice President, Academic the incumbent will undertake activities in support of strategic and operational goals; manage relationships across offices within the college and with external stakeholders, and is responsible for the daily operations of the Office of the Vice President. The incumbent will be proactive, anticipating the needs of and taking action to support the office based on sound judgement and experience. While managing multiple priorities, the incumbent will approach their work with a professional attitude and focused attention to detail. Acting as the central point of contact for the office, the incumbent will assess and respond to a wide range of issues, both general and confidential in nature, and be comfortable working outside of regular office hours to support college business and initiatives, including evenings and weekends.
Specific responsibilities include: administrative support to the Vice President and Associate Vice President including gathering information, responding to emails on behalf of the Vice President’s office, assisting with projects and miscellaneous requests, proofreading documents, preparing confidential and/or general correspondence; scheduling and calendar management for the Vice President and Associate Vice President including reviewing requests for on-campus and off-campus events, confirming details/attendance requirements and booking travel arrangements; coordinating events hosted by the Office of the Vice President; providing support to cross-institutional committees, working groups and task forces including meeting logistics and minute taking; and supporting academic policy renewal and development including managing the catalogue of policies that fall under the academic umbrella. In addition, the incumbent will support processes that address various academic issues that are escalated to the Vice President.
The successful candidate will possess a diploma or degree in Business or Office Administration as well as a minimum of five years related and successful experience supporting senior-level executives. Additional qualifications include experience writing professional communications, calendar management, meeting management, event planning, project management, supporting multiple cross-institutional committees and policy development. In addition, the successful candidate will be proficient with Microsoft Office and possess excellent communication, interpersonal, organizational, problem-solving, and time management skills as well as demonstrate the ability to manage confidential information. Training in conflict resolution will be considered an asset. The ability to successfully build relationships across the organization as well as maintain trust and confidentially are essential to success in this role. An excellent understanding of college processes and organizational structure will be considered an asset.
Salary Range: $66,228 - $82,787
