The Executive Assistant, known as the Academic Liaison & Assistant to the CAO maintains the upstairs circulation desk, and while providing executive assistance to the Chief Academic Officer, also facilitates communications between the Academics department, and Student Services. This is an integral role within the organization that ensures smooth operations for Academics department.

The Academic Liaison will:

  • Meet regularly with the CAO (Chief Academic Officer), to provide day to day supports and updates to each party
  • Manage the CAO's schedule, calendar, travel arrangements, and act as a gatekeeper for the CAO's appointments
  • Assisting in working with Executives, handling inbound and outbound telephone calls, short incisive emails, and all other communications. Setting up meetings and re-schedule meetings missed.
  • Communicates directly and on behalf of the CAO when directed, maintaining excellent client relations skills
  • Computer and presentation assistance for board meetings, global exec meetings, etc...
  • Taking minutes, preparing notes and items for meetings for the CAO; anticipating the needs of meetings
  • Be the first contact point and act as the face of the Academics department for students
  • Act as the designated communications liaison between the CAO and third parties
  • Be comfortable working in a busy environment and producing reports and statistical data
  • Work closely with Student Services when students have questions, concerns, or help booking an appointment with their Advisor
  • Mediate potentially tense situations where language and cultural barriers may effect the reception desk
  • Provide knowledge and expertise about programs, courses, and Student Services to students

The ideal candidate:

  • *Must have minimum 2 years as an Executive Assistant
  • *Must have 2 years providing support for upper-level management.
  • Bachelor’s degree or diploma preferred but not required
  • Excellent management, time-management, and problem-solving skills
  • Dynamic personality with the ability to build relationships with a multidisciplinary team
  • Experience with strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Strong interpersonal skills and the ability to build relationships with clients, and staff.
  • Previous experience working in an educational institution and or knowledge is a definite asset.
  • A high degree of of competency in Windows, MS Word, EXCEL and PowerPoint; and other software, ability to learn new software. .
  • Able to work independently and with professional discretion.
  • Excellent writing, editing, grammatical, organizational, and research skills.
