Description :
The Montréal West Island Integrated University Health and Social Services Centre is currently looking for someone seeking challenges to join the Executive Office.
More specifically, the person will provide administrative and technical support to the Assistant Executive Directorate (AED) in carrying out its business processes. The successful candidate’s role will include, but not be limited to the following:

o Provide technical and administrative support for AED projects (research and analyze information, prepare reports, monitor deadlines, follow up on administrative decisions, etc.);
o Manage agendas (plan meetings, send and respond to invitations, manage schedule changes and phone calls);
o Prepare meetings (send meeting notices, book rooms, prepare agenda, prepare materials [e.g. presentation] and necessary documents, write minutes);
o Write (revise, edit, standardize, and bring into compliance with applicable standards) draft letters, memos, emails, or other administrative documents and ensure their internal and external distribution;
o Provide support for the organization of internal and external events;
o Collaborate with the staff of the Executive Office and governing bodies (CEO, board of directors, committees, etc.);
o Perform billing activities related to AED activities;
o Produce expense reports related to AED activities and monitor them;
o Collaborate in the resolution of daily life situations in the fields of finance, equipment, technology, and human resources management.

The position is located at Lakeshore General Hospital in Pointe-Claire.

Requirements :
o Hold, depending on the field of activity required, a college diploma (DEC) with specialization in administrative techniques or in another appropriate discipline from a school recognized by the Ministère de l’Éducation et de l’Enseignement supérieur or hold a college certificate in administrative techniques and relevant experience;
o Have at least one (1) year of experience in a similar role with the senior management of an organization;
o Have advanced proficiency in the following software and computer applications: Word, Excel, PowerPoint, Outlook (or Lotus Notes);
o Have experience in coordinating agendas and multiple meetings in support of several managers and the Board of Directors, if applicable;
o Have experience and excellent knowledge of meeting summary processes;
o Able to work in both French and English with advanced oral and written proficiency, including the composition and revision of texts in French and English;
o Use discretion;
o Good time management and prioritization skills, so as to work on several files simultaneously;
o Flexibility and the ability to work in a fast-paced and ever-changing environment.
