The Administrative Support for the Executive Director, Surgery Strategic Clinical Network will be responsible for providing complex secretarial and administrative support and ensure the effective and efficient management of a broad range of administrative responsibilities. The incumbent is required to provide a high standard of interpersonal communication and must demonstrate confidentiality, flexibility, and initiative. As an Administrative Assistant, you will deal with both non-routine and standard assignments and be required to use independent judgement to meet objectives and problem solve. The position will assist with the scheduling of meetings with senior leadership, physicians, patients, and other key stakeholders. The position is part of a collaborative team and engages with multiple stakeholders requiring effective communication skills.
Major accountabilities or functions of the position include, but are not limited to: Managing complex calendars and scheduling meetings. Assisting with the planning and coordination of local and provincial meetings. Providing administrative support (e.g. travel bookings, expense reports, payroll, etc.). Developing and updating office procedures and processes. Developing agendas, correspondence, presentations and various other documents as required. Coordinating the completion of recurring and ad-hoc reports and requests. Assisting with financial monitoring of the budget. Providing other administrative responsibilities as required.

Required: Minimum five (5) years Administrative Experience. Advanced calendar management skills. Intermediate computer skills in Microsoft Office suite (Outlook, Excel, Word, PowerPoint, and Visio). Excellent oral and written communication skills, including during times of conflict. Exceptional organizational and time management skills. Able to work under pressure and meet deadlines with multiple interruptions. Ability to maintain a professional attitude while exercising judgment, tact, diplomacy and discretion when dealing with highly sensitive and confidential issues. Ability to make positive contributions to strong team based working environments and relationships. Demonstrated problem solving and decision making skills to anticipate, identify and independently recommend appropriate actions to complex administrative/academic/clinical issues. Ability to recommend and implement changes to procedures or practices performed. Ability to produce high quality of work in accordance with Departmental standards. Demonstrated ability to establish priorities and respond to changing needs in a team environment with minimal supervision.
Additional Required Qualifications:
Preferred: Post-secondary education and/or designation as a qualified Administrative Assistant or equivalent. Experience working independently as well as in teams that are spread out across province. 1+ years’ experience within Alberta Health Services. Experience working with Senior Management.
