We are currently recruiting for one (1) Full time Human Resources Associate to join our dynamic team.Reporting to the Manager, Human Resources, the Human Resources Associate (“HR Associate”) will be responsible for providing support to the Human Resources (“HR”) team. The HR Associate will be required for support in planning, organizing, directing, controlling, and evaluating the operations of the HR department. The incumbent will be the first point of contact to the HR department; greeting and directing employees and managers while providing direct support to the Manager, Human Resources, Senior / Human Resources Advisors.
- Prepares drafts of general forms, letters, reports, and memos as required•Completes HRIS data entry, including but not limited to new hires, salary changes, termination, status changes, address changes, training and disciplinary records etc.•Maintains accurate records for compilation of statistical reports concerning personnel related data, such as hires, transfers, and performance management •Ensures adequate availability of all HR related booklets and forms; sort and distribute incoming faxes, mail and resumes; order necessary office supplies and file accordingly•Supports the administration of the employee recognition (High Five) program, which includes keeping a log of all points and awards issued, holding draws for quarterly prizes and assisting with organizing celebrations•Assists and/or directs employee inquiries to appropriate HR team members•Assists HR team members with reports and data compilation as required e.g. quarterly reports•Creates and manages codes / monitor data management in the HRIS; conducting frequent audits reviewing the integrity of the data entered into the system•Conducts bi-weekly payroll audits for HR related information•Conducts audit of and monitors employee working visas, temporary work permits and emergency contact information•Processes reoccurring reports as requested; including data collection for President Reports and annual compensation statements•Champions TRIM for the HR department, including all data tracking, labeling, content classification, file storage, and retrieval, etc. •Maintains records as part of the Complaint Resolution Process, including but not limited to, keeping all forms up-to-date, logging information in the Employee Issues Log.•Ensures record management programs are in compliance with applicable legislations, security and data privacy policies•Manages HR department information on the CN Tower intranet site and provides updates in a timely manner; works with Sales and Marketing department to improve the site and implement design changes where necessary •Assists Senior/HR Advisors with recruitment needs, including recruitment requisitions, requisition tracking, data input and tracking in the Excel recruitment database , resume management, job postings, and prescreening etc.•Manages statistical data, including collection, recording and analysis of data for reporting purposes•Champions and organizes the annual seasonal recruitment process, including coordinating, participating in, and scheduling of job fairs and developing new and/or maintaining existing relationship with applicable schools•Posts job openings on websites, social media, newspapers, professional organizations, and/or other candidate appropriate sources•Assists with sorting/selection of resumes. Schedule interviews as required.•Conducts candidate criminal, credit and other reference checks using a third party vendor as required•Maintains tracking systems for seasonal recruitment analysis•Facilitates new hire orientations and onboarding on an on-going basis•Communicates with current and prospective employees with information about Company policies, job duties, working conditions, wages, and opportunities for promotion
- A post-secondary education in Human Resources or equivalent is required•A minimum of three (3) years of related Human Resources experience is required•Certified Human Resources Professional (“CHRP”) designation in progress or achieved is an asset•Working knowledge of human resources and health and safety principles and applicable legal and regulatory guidelines is required, including but not limited to the Employment Standards Act (“ESA”), Occupational Health and Safety Act (“OHSA”), Accessibility for Ontarians with Disabilities Act (“AODA”), Human Rights Code (“HRC”) and other applicable regulations •A minimum of one (1) to two (2) years of experience with an HRIS (WorkForce Now ADP) is preferred•Ability to balance a wide variety of priorities with minimal direction•Demonstrated ability to use good judgment and to apply problem-solving skills on a variety of issues•Bilingualism (English/French) is an asset
