The primary role of a Clerical Assistant is to provide administrative and clerical support to the daily operations of the Clinic. This role will primarily focus on patient registration although will be expected to rotate through the various job assignments on a regular and as needed basis. Clerical Staff are expected to perform proficiently in all areas as described below.

RESPONSIBILITIES

Effectively manage and prioritize patient registration of ophthalmology patients
Provide professional and personable first contact by phone, in person and electronically for patients, staff and visitors
Perform reception duties which include registering patients; greeting patients and re-directing inquiries as appropriate; booking appointments; taking referrals for outpatients; answering the telephone and taking messages;Re-schedule as necessary (mail appointment detail notices as required)
Perform other clerical duties such as; photocopying; faxing; and mailings; orders and maintains inventory of supplies and equipment
Prepare clinic room pre, in –room and post patient visit- according to the clinic specialty processes including available requisition and functioning of equipment
Interact with multiple stakeholders such as physicians, clinical staff (RN, CA, Health Disciplines), patients, families, visitors, volunteers and intradepartmental supports (diagnostics, housekeeping, portering)

QUALIFICATIONS

Graduate of a recognized Office Administration program or equivalent
Requires a Medical Terminology Certificate
Recent clerical experience in an ambulatory clinic setting required
Must be proficient in Microsoft Word, Excel, PowerPoint, Outlook, ADT, Soarian scheduling
Communicate clearly and fluently in English
Excellent interpersonal and communication skills
Good judgment and discretion
Work well under pressure
Highly organized and efficient time manager
Problem solver
Flexibility in rotating job assignments
