Role Summary

As Account Coordinator, you are a doer. You are responsible for the support and service of the client and Account team, and you understand the importance of getting things done. You are an organized and detail-oriented individual who can juggle several projects at the same time. You have strong communication skills (both oral and written), are an active listener and have an exceptional ability to manage timelines. You are business-minded, and make a concerted effort to stay abreast of developments in your client’s category and/or industry. You have a knack for bringing order to chaotic situations and are proactive at resolving issues that have the potential to derail a project timeline. You are a natural problem solver and can think on your feet. You are resilient, have a drive and eagerness that is evident to those around you, and focus your efforts to ensure successful completion of all your assignments. You provide exceptional support to your team and show an active interest in growing towards an Account Manager role.

Key responsibilities

Assist the account team on internal trafficking of projects through Creative, Studio and Production
Obtain schedules and advise project team of any delays or variances
Participate in weekly status meetings
Prepare and manage status documents, contact reports and critical paths
Develop copy decks and production timelines
Manage budget control reports (BCRs)
Manage all meeting notes and ensure next steps are communicated to relevant parties
Coordinate storage and databases for client files
Manage job numbers, demonstrating an understanding of the importance of accurate time allocation in order to prevent overages
Coordinate logistical needs for client meetings
Develop hot sheet briefs, scope of work, and requirement documents
Provide frequent updates to manager and the larger team on the status of projects, next steps, delivery/timing
Respond and deliver Client and internal requests in a service oriented manner
Recognize financial terminology and understand what can have an impact on a project budget
Proactively flag any concerns and challenges in the project timeline
Actively and promptly follow up with internal team and clients on requests, approvals, and answers to questions in an effort to keep projects moving forward
Ensure all work is flawless and meets and exceeds client expectations, free of typos and/or errors
Maintain and keeps organized client and team contact information
Understand who the key clients are and be aware of the broad client relationship strategy
Provide complete and high quality competitive research that offers value for our client
Stay abreast of trends, competitive reviews and current events in order to gain a broader base knowledge from which to generate ideas
Demonstrate an interest and understanding of the competition, and awareness of how strategies and tactics work in the marketplace
Build appropriate rapport with clients and work successfully towards earning the Client’s respect and trust
Observe and acts on opportunities to be proactive and provide additional insight or research to help guide team to better solutions and smooth delivery of projects
Challenge and improve current administrative processes where appropriate. Recommend more efficient, streamlined, and accurate approaches (i.e. job number organization, keeping track of approved and outstanding estimates and informing team of any deficiencies; file organization and accessibility for team; new nomenclature for versioning files, etc.)
