Your Opportunity:
This Executive Administrative Assistant position provides executive admin support to the TBCC Medical Director, Clinical Department Head, Oncology (Calgary Zone, AHS) and Academic Department Head, Oncology (U of C) and Medical Lead, Calgary Cancer Project and acts as the central point of contact for these roles. This position must have a full understanding of CancerControl Alberta, AHS and U of C processes and a comprehensive understanding of academic medicine to function. To be effective, it is critical that the individual exercise critical thinking, problem solving and informal leadership skills to the support staff. As this position performs a senior administrative leadership role and is first contact on behalf of the Department, the individual must be self-directed and work independently on a day to day basis with minimal supervision; must demonstrate flexibility, initiative and a high degree of organization, and must exercise good judgement and the utmost discretion in dealing with highly sensitive and confidential issues. The position supports the administrative activities related to clinic and other roles along with research, educational and academic activities of the physician. Duties are as follows: Schedule, organize and attend executive level Department of Oncology meetings and retreats (book facilities, arrange hospitality, coordinate travel, organize speakers, prepare agendas, record and transcribe minutes and send out any required correspondence materials); Assess, prioritize and coordinate the leaders' daily schedule; Communicate effectively with key stakeholders, respond to inquiries from internal or external agencies (e.g. Government, Media, etc.); Assist with recruitment support: facilitate the committees, create interview packages, coordinate schedules, assist with travel; Oncology academic projects; Oncologist clinical and academic support.

As an Administrative Support V, you will require advanced administrative or specialized skills and knowledge to support complex procedures, practices and initiatives within a department or program.

Required Qualifications:
Completion of post-secondary education (e.g. certificate in office or business administration).

Additional Required Qualifications:
Minimum 3-5 years of executive administrative experience is required. Accurate typing skills of 65-75 wpm, Medical terminology required. Advanced computer skills required, especially in Microsoft Office. Needs to be able to merge and extract between Excel spreadsheets and between Word, PowerPoint and Excel applications to effectively manage the workload. Demonstrated time-management and organizational skills, ability to effectively coordinate a number of projects simultaneously. Superior communication skills are essential in managing confrontational, confidential and problem-solving situations. Awareness of public and corporate image, directives and goals. Basic understanding and application of the Freedom of Information and Privacy Protection Act – specifically for health providers and patient information. Demonstrated analytic problem-solving and decision making skills are necessary to anticipate, identify and independently recommend appropriate actions to complex administrative problems. Must be able to exercise professionalism, judgment, tact, diplomacy and discretion when dealing with highly sensitive and confidential issues.

Preferred Qualifications:
Demonstrated time-management and organizational skills, ability to effectively coordinate a number of projects simultaneously. Superior communication skills. Experience in a large healthcare organization or academic health centre is preferred.
