The TransX Fleet Maintenance Department has shop facilities across Canada to support our Operations team. The maintenance teams are the people we depend on to ensure that our equipment is kept in first rate condition to meet our customers’ requirements. The TransX Group of Companies has an exciting opportunity for an Asset Coordinator in our Winnipeg Maintenance facility. Reporting to the Rolling Assets & Repair Director, the Asset Coordinator completes all related administrative activities by coordinating, as per the strategic direction set for assets acquisition and management.

This role also assists in the licensing and permit functions for new and existing assets in alignment with the Licensing Coordinator position. The key coordination areas of this position include:

New asset acquisition
Asset management
Regulatory compliance
Performance reporting
Budgets
License and permit processing
Removal of units off fleets
Decal ordering
Record management

Shift: Monday to Friday; 8:00 a.m. - 5:00 p.m.

Major Responsibilities

Assets Acquisition - 30%

Address all asset related enquiries and correspondence
Complete onboarding formalities of new company assets in alignment with assets department fleet acquisition targets and budget
Assists the team with new truck purchases and standardize new truck onboarding procedure

Assets Management – 30%

Ensure road safety compliance is being adhered to at all times to support safe driving s
Remove units off the fleet and complete formalities while updating the truck and driver binders accordingly
Work on and maintain reports
Checkup, PM Audit, Tire Rebate Report, etc.
Manage annual Alberta Motor Vehicle Industry Council (AMVIC) business renewal, California Air Resources Board (CARB) compliance and any division change requests

Licensing and Permits – 20%

Assist the Licensing Coordinator in processing licenses and onboarding of new O/O trucks in fleets and facilitate new trailer licensing
Assist with licensing existing units, the renumbering of units and the replacement of plates as needed. Change ownerships in case of lease buyouts for TransX and O/O, etc.

Administrative Tasks – 20%

Scan, file and maintain all assets related documents
Manage all purchase receipts/invoices, reconcile statements and submit to Payables/Finance for processing

Skills / Functional Knowledge

Basic understanding of fleet maintenance processes
General knowledge of heavy equipment and commercial motor vehicles such as cars, vans, trucks, specialist vehicles (such as mobile construction machinery), trailers and their applications
General knowledge of the transportation industry, fleets management, licensing compliance, regulatory affairs and road safety standards
Ability to work with a diverse technical team and support maintenance resources
Confident and collaborative with good written and verbal communication skills
Ability to multitask in tight timelines

Qualifications

The successful candidate must have strong business acumin, and be a team player.

Requirements:
Grade 12 with a post-secondary diploma in adminisatrion or office managemnent
1-2 years of experience in an office setrting/ Prior administrative experience in any similar organization is an asset
Experience working in a team environment with the abilitu to work under pressure with tight deadlines
Excellent interpersonal and multitasking skills along with oral and written communication skills
Proficient in software applications (MS Office, data entry, proprietary engine and component software programs, etc.)
