AECOM is seeking a Site Administrator to join our team at our Teck BRE Project team in Sparwood, BC. This is a Temporary position on 4 days on, 3 days off rotation.

The Site Administrator tracks and coordinates all phases of the construction project such as bid packages, bid awards, procurement scheduling, deliveries, billing, supplies, and is liaison of communication between field engineers, suppliers, vendors, etc. Ensures that goals are met for timeliness, accuracy, quality, and price.

+ General filing and manages documents throughout all phases of a project.

+ Provide general office/admin support to all site personnel.

+ Maintains project directory and site contact list.

+ Control and distribution of incoming/outgoing correspondence.

+ Learn time entry process and assist with coverage and support where required.

+ Populate and submits timesheets for new hire, if required.

+ Create monthly supply orders, PO's and expense forms for craft and staff when required.

+ Maintains and files reproduced document originals, as well as revisions for easy retrieval.

+ Develops project-specific filing structure and document control procedures, including implementing into required electronic document management systems (EDMS).

+ Coordinate and assist in the preparation of reports as required.

+ Create and maintain vehicle passes, visitor passes, and staff registration for all new hire staff members, as required.

+ Under general supervision, performs general duties that are often routine and repetitive.

+ Under general supervision, interacts with professional/technical staff to accomplish assigned objectives.

+ Requires limited exercise of judgment.

+ Actively participate and identify areas of improvement and provide solutions.

+ Support Safety team with collection of safety tickets and creation of safety files, as required.

+ Support Quality team with document controls and filing.

+ Promote a positive safe culture in the workplace.

+ Comply with AECOM Maintenance services Health, Safety and Environment management plan.

+ Undertake other related tasks, as required by the position and set forth by the Site Manager, Project Manager and/or Construction Manager.

Conditions of Employment for this position are:
1. For positions that fall into the list of required positions within the AECOM Oil & Gas Background Check policy, qualified applicants who are offered, and accept, the role must complete a satisfactory pre-employment Background Check. This may consist of all or a combination of the following: Canadian Criminal Record check, an Employment Verification and/or an Education and Accreditation Verification.

2. For positions that fall into the list of required positions within the AECOM Oil & Gas Alcohol & Drug (A&D) policy, qualified applicants who are offered, and accept, a position must provide evidence of a satisfactory Alcohol & Drug test in accordance with the Company's Alcohol & Drug Policy. In order to be valid, the test must have been conducted at the direction of AECOM - O&G Business Unit.

Minimum Requirements

+ High School Diploma

+ Minimum 2 Years of Experience or demonstrated equivalency of experience and/or education

+ Proficiency in Microsoft Office - Word, Excel and Outlook

+ Strong organizational skills - the ability to multi-task and prioritize in order to meet deadlines

+ Strong attention to detail, maintain a high level of accuracy and quality

+ Strong interpersonal skills to work effectively with others

+ Motivated, self-starter who can work well independently or within a team environment

+ Strong communication skills - verbal and written

+ Able to travel, if and when required

Preferred Qualifications

+ Local applicant in Sparwood, BC and surrounding area is preferred

+ Previous site administrative experience is preferred

+ Administrative Diploma/Certificate would be an asset

+ Live plant experience / maintenance project experience is an asset
