The Admin Assistant/Document Controller reports directly to the Senior Project Manager and provides document control and administrative support for the Buildings division.

As an Admin Assistant/Document Controller at Graham you will:
Perform daily administrative task such as filing, transmitting documents, making phone calls, organizing paperwork and other responsibilities
Receive goods, assist buyers and assist document control
Prioritize daily tasks, multi-task, and deal with a variety of personalities (internal & external)
Quickly shift priorities and deliver results
Be eager to take on new responsibilities and learn new tasks
Familiarity with SAP and/or Acconex is an asset
Control of new and revised documents; ensuring all current approved documents are available and maintained and are accurate in description; ensure quick, accurate retrieval of information
Administer and maintain the document control management process in accordance with policies, procedures, and Clients' standards: issuing, receiving, and distributing all documents, filing, archiving all incoming and outgoing documentation (hard and electronic copies)
Coordinating and tracking of all client issued documentation for pursuits, maintain and manage the flow of information between the pursuit team and the client.
Distribution of all documents to all required team members
Become an expert user in the use of web-based document control systems, (as required by the clients) including training users and assisting outside organizations (when necessary)
Printing of all RFQ's, RFP's, PA's, addenda etc.
Maintain current and accurate filing of pursuit documents in project folders: download files, upload files, print files as necessary
Manage Document Control Tracker: update and keep current the document control tracker on all pursuits
Manage SharePoint folders for all pursuits
Setup SharePoint access for outside partners if required, provide instruction to outside partners on the functionality of the SharePoint
Provide project administrative support to project team as required

High School graduate, Administration Diploma or equivalent experience
Prior document control experience in construction industry;
Previous document control experience an asset;
Accuracy and attention to detail is required.
Demonstrate developing verbal and written communication skills.
