Overview of role:
WestJet has been and will be significantly expanding its global network and the size of its business. As WestJet becomes more complex and challenging, we are seeking a Senior Executive Assistant (SEA). This individual can exhibit a high standard of excellence, enjoys challenges, and is results-driven. The incumbent must be highly motivated and demonstrate the ability to work in an agile environment.

The Senior Executive Assistant will be responsible for the coordination of all messaging & communications with guests, WestJetters, and government/industry leaders as well as overseeing all the President & CEO administrative, scheduling, day to day organizational activities. The SE’s principal objectives are as follows:

Prepare information material to deliver high-quality communications and advice to support the CEO’s meetings and communications.
Enhance the CEO’s visibility and reputation by managing internal & external relationships in a proactive and structured manner. This will include ensuring seamless links for the CEO with the Board, external parties, leadership team, and the business.
Support accountability by coordinating follow up on actions and ensuring meeting pre-reads are submitted within the determined timeframes.
Provide support to the broader executive administration team, identifying opportunities to drive efficiencies and continuously improve administration processes and procedures.

Key deliverables include:
Leadership & Relationship Management

Leads by example, setting the standard for professional behavior and work habits that support a positive, performance-based environment;
Establishes and maintains constructive working relationships with external parties (i.e. relevant Federal and Provincial Ministries) and internal parties (i.e. ELT members); and
Works with the executive assistants to ensure appropriate coverage to support the needs of the CEO & Executive Leadership team
Provides the day to day leadership to a Senior Administrative Assistant ensuring that communication, allocation of duties, timely feedback and performance management are provided.

Communication of Data

Working collaboratively with relevant stakeholders, supports the development of engaging and accurate presentations, reports and correspondence for the CEO to deliver to the Board, ELT and committees;
Researches and profiles external contacts to help the CEO prepare for engagements. Filters, delegates and responds to correspondence on behalf of the CEO;
Works with the Guest Experience team to ensure that guest letters written to the CEO are actioned as appropriate.
Gathers data from the CEO’s direct reports and coordinates monthly reporting; and
Provides the CEO with reliable and timely advice, support and liaison services, allowing them to focus on the delivery of WestJet strategic priorities and goals.

Administrative Management

Provides the full spectrum of administrative support to the CEO, including managing telephone inquiries, screening requests from internal and external parties, and managing the CEO’s schedule;
Takes the lead role in the planning and execution CEO commitments, including communications, meetings, presentations, submissions, travel and events; and
Reviews and ensures completeness and accuracy of documents flowing to and from the CEO office, including managing the storage and security of confidential files.

Experience and qualifications:
Minimum 7 years’ related experience in an administrative role coupled with an Office Management or Business Administration Diploma from a recognized post-secondary institution;
3 years’ experience working in a Senior Administrative capacity and managing an executive office, in an organization of similar scope, scale and complexity to WestJet; and
Advanced knowledge of Microsoft suite of products (specifically Word, Power Point and Outlook, and intermediate knowledge of Excel).
A track record for successfully leading business/employee events coordinating a team of internal and/or external suppliers.
