What you’ll be doing
As the Senior Coordinator you will be accountable for providing shared coordination, secretarial/operational and administrative support to four Senior Directors within the Fraud and Fusion Centre team. The incumbent will, monitor and ensure that all administrative and operational processes and control standards are followed, contributing to the effective and efficient operation of the business group.
How you’ll succeed
Offer Professional Support Accountabilities by preparing standard correspondence, reports and presentations ensuring completed material is produced in a timely manner. Act as a communication channel for organization centric communications such as communications boards, email distributions to facilitate timely and effective communications to staff. Respond to inquiries on the department’s behalf, or escalates related matters as appropriate. Act as a conduit for the efficient flow of invoice processing for payment in adherence with division processes and processing guidelines, and vendor agreements
Adhere to confidentiality and privacy policies while preparing correspondence, memos, minutes, and reports (frequently of a confidential, strategic and/or specialized nature). Compose moderately complex letters, memorandums, and reports on behalf of the senior leaders by identifying required information. Receive visitors (internal to CIBC and external customers) and answer phone calls, providing information, and referring visitors/callers to appropriate individuals using judgment of sensitivity and confidentiality.
Excel at General Office Administration requirements such as monitor Sr. Directors’ calendars of scheduled appointments, or upcoming events and matters requiring immediate attention. Book meeting rooms and arrange for IT resources. Arrange travel arrangements and maintain travel expense account. Prepare and dispatch outgoing mail. Maintain a central e-mail Global Address list and ensures all staff receive e-mail communications. Arrange for and supports all required onboarding activities and setup for new employees to the team. Participate in planning, coordinating and implementing department events.
