About us:

We are a boutique events management company specializing in creating and managing volunteer programs for premiere events across Canada. We work with clients to craft the best program for their event including planning, recruitment, candidate vetting and selection, engagement and preparation, logistics and onsite management. We are busy with awards shows and galas in the winter and spring, and primarily concerts and music festivals over the summer. We work closely with volunteers to prepare teams for service.

About you:

Reporting to the company founder, you are an excellent administrator who has worked in special events, entertainment and/or at festivals. You have terrific communication skills and attention to detail. You are a disciplined self-starter capable of juggling a variety of tasks in a fast-paced environment. You have volunteered your time. You know your way around Excel and Google Drive, and work swiftly and accurately. You are comfortable working odd hours, on weekends, and longer days in the summer months.

Core responsibilities:

  • Working with Volgistics software to prepare volunteer applications, interactive portals, schedules, etc. for each event
  • Responsible for monitoring and responding to all volunteer email, directing volunteers to source materials and tracking queries in need of an answer
  • Researching recruitment options in different locations, finding contacts to share volunteer opportunities with, developing a go-to recruitment list for key markets
  • Working with tracking systems for volunteer deposits and refunds for events utilizing a refundable deposit model
  • Tracking key details of each of our programs for our permanent records
  • Creating a volunteer handbook of resources and information for each event
  • Serving as the liaison between volunteer teams and the Program Manager
  • Downloading and capturing all data before closing out each software account
  • Tracking your time devoted to each project
  • Additional tasks and responsibilities as required

Qualifications:

  • 2 + years staff management experience
  • Excellent written and verbal communication skills
  • Mad information tracking and organizational skills
  • On the ground events experience

Bonus skills:

  • Familiarity with Volgistics software
  • Social media maintenance
  • Website development (Wix)
  • Graphic design
  • Copy writing

Work flow:

This contract will see you working an average of 10-20 hours a week, sometimes more. Expect to work the higher end of this range in February and March, and again in July. Our busiest month is August.
