Administrative assistant

The Administrative assistant will answer inbound calls and respond to emails in order to book clients for medicals. This person will also provide administrative support to our clinical professionals, and will provide relief support at reception when needed. They will float between the back end administrative team, and front end reception team daily.

Duties and responsibilities

Making outbound calls and follow up emails to book appointments
Effectively managing all tasks and follow-up related to telephone or email inquiries from clients/companies
Maintaining up to date client information in database: contact info, what/where results should be sent
Providing clients and companies with information about Medisys and its services
Front desk reception relief during lunch break hour
Check patients in and out
Answer questions and provide direction for completing required paperwork
Take payments and record invoices in system
Prepare patient files ahead of next day appointments
General filing and other administrative support tasks (including special projects) as directed
Appointment coordination
Relieve the primary flow coordinator at end of shift, and see coordination through until clinic closes
Ensure all testing and paperwork is completed prior to patient check out
Keep wait times between assessments as low as possible by prioritizing testing and clinician schedules
Remain aware of patient progress through protocol, and location within clinic
Work collaboratively and effectively with all team members to provide a welcoming and client focused environment

Qualifications

Completion of high school or equivalent
1 – 2 years’ experience providing an exceptional level of customer service in a fast paced environment; experience in a coordination role considered an asset
Excellent command of the English language, both verbal and written
Ability to handle sensitive situations with tact while respecting patient confidentiality at all times
Attention to detail and ability to manage time effectively
Strong work ethic and takes ownership to complete a task from start to finish
Demonstrates flexibility and the ability to work effectively in a team environment; open to taking on new tasks and responsibilities as directed
Demonstrates effective organizational, multitasking and problem solving abilities
Maintains calm demeanor and composure when faced with stressful or hectic situations
Proficient with Microsoft Office applications (Word, Outlook, Excel and PowerPoint)
Exposure to patient databases and/or appointment scheduling software would be ideal
