Your Opportunity:
This positon is accountable for the day-to-day operations of the Executive Director’s office. Works with a strong understanding of the complex needs and priorities of the ED’s areas of responsibility. Establishes and maintains effective office systems and processes to ensure the efficient operations of the portfolio. The role includes the management of the ED’s calendar, coordinating meetings, preparing agendas, meeting materials and minutes as required. Identifies and coordinates follow-up items resulting from meetings, committees and councils. Incumbents use extensive judgement in interpreting requests and determining materials required for assigned projects, presentations, memos, letters and reports. Acts as a resource relating to questions about services provided within the portfolio and gathers information to help arrive at appropriate solutions. Must be able to collaborate with all levels within the organization. Continually seeks a greater understanding of technology and electronic functionality in order to improve efficiency and reduce redundancies in daily job duties. Works closely with Administrative Support staff and the Management Team for this portfolio. Works collaboratively with other site/zone/provincial administrative offices. Pivotal position for the portfolio. Provides tools for the ED to monitor the operational budget for the portfolio. Incumbent must be fiscally responsible in the use of the budget assigned for administrative purposes. The nature of the work involves shifting priorities between site, zone and provincial initiatives. The incumbent must possess the ability to prioritize and handle workload during period of intense activities, often with tight deadlines assigned.

As an Administrative Support V, you will require advanced administrative or specialized skills and knowledge to support complex procedures, practices and initiatives within a department or program.

Required Qualifications:
Completion of post-secondary education (e.g. certificate in office or business administration).

Additional Required Qualifications:
Minimum five (5) years’ experience in a health care based organization in administration positions of progressively increasing responsibility. Excellent written and verbal communication skills essential. Exceptional collaborative abilities. Advanced computer expertise is essential. Experience in payroll functions as required. Ability to work under pressure with minimal supervision. Incumbent must be self-motivated and possess high initiative. Monitors and maintains spreadsheets with pertinent portfolio information e.g. staff on-call schedules, financial reports, equipment lists, clinical events, patient concerns, risk management activities, Essential Services, Organizational Best Practices, etc. Provides these documents, as required, for the ED and Management Team.

Preferred Qualifications:
Incumbent must be able to work in a fast-paced, dynamic environment. Must possess a high degree of professionalism in dealing with urgent and sensitive matters. Completion of an Administrative Professional diploma or post-secondary education in Secretarial Arts, Office Assistant, Business Administration an asset.
