# of openings:
Provides administrative, secretarial and communication support to at least two and as many as four directors, one of whom may be a Senior Director, in University Advancement. Coordinates staff project reports on behalf of senior director. Coordinates the directors' schedules by arranging meeting/appointments with senior level individuals from on/off campus, private organizations, and foundations. Maintains communications by organizing, implementing, and responding to inquiries and invitations from prospects/donors. Composes and edits correspondence, memos, reports and corrects grammar, spelling, punctuation, and adjusts sentence structure of materials. Maintains complex database and filing system using a web-based database application (SIMS-CR). Researches and drafts promotional documents, presentations, prospect packages and proposals. Assists with composing briefing notes for special events, stewardship appointments, prospect calls and reports. Prepares expense claims and organizes travel arrangements for directors. Coordinates the arrangement and implementation of special events/functions.
High school graduation and two years of post-secondary education or formal certificate/diploma program equivalent in office practices, business administration, fundraising, and/or event planning.
4 years minimum experience.
An equivalent combination of formal education, certificate/program of study ad experience is acceptable.
65 wpm keyboarding skill with a high degree of accuracy.
Ability to use word processing, spreadsheet, email, internet, and database applications (e.g., Word, Excel, SFU Connect, FileMaker) at an intermediate level.
Ability to use enterprise-level information systems (e.g, Peoplesoft/SIMS-CR) at an intermediate level.
Ability to assign and check the work of other employees.
Ability to exercise mature judgment, initiative, and diplomacy especially when dealing with sensitive or confidential information, communicating with potential donors/benefactors/prospects, or conducting research.
Ability to organize time and set priorities, meet deadlines, and work independently.
Ability to perform arithmetic calculations with a high degree of accuracy.
Knowledge of administrative office processes (e.g., record keeping, organizing and distributing information, making travel arrangements, organizing events and meetings).
Excellent organizational and interpersonal skills.
Excellent written and verbal communication skills to compose correspondence and provide clear information.
Excellent analytical reasoning and problem solving skills.
Good knowledge of record-keeping systems.
Ability to attend and work at functions outside of normal working hours (e.g., evenings and weekends).
