The Bitove Wellness Academy is a first of its kind in Canada! The Academy is for persons living with mild to moderate dementia, as well as, for their families and care partners. The idea of the Academy as a place of active learning is central to the philosophy of the Dotsa Bitove Wellness Academy. We provide and encourage opportunities for personal growth and discovery through creative activities, active and continuous learning, artistic expression, lively discussion, inter-generational exploration, exercise and enjoyment. The Program is designed to accommodate simultaneously-running activities including art and art history, drama, yoga, creative writing, dance and music. Each person is supported to choose activities they find most meaningful and most engaging. Our philosophy is based on learning, engagement, creativity and inter-generational programming to connect generations in learning. Bitove participants are inspired and supported to be their personal best.

The Administrative Assistant II is the first point of contact for potential new members, care partners, and other external partners. The Administrative Assistant II exercises judgement and independence in the performance of administrative support to the Bitove Wellness Academy, the team, and the manager, effectively communicating with Academy members, team members, internal and external stakeholders. The principle responsibilities include: performing reception duties, typing, filing, photocopying, faxing, ordering and maintaining office supplies; ensuring registration; filing of appropriate information into participant records as per protocol; maintaining good order of records; booking and coordinating accurately and efficiently participant appointments; compiling program service statistics; entering and reporting data; maintaining an accurate and confidential filing system; preparing reports including letters, memos, agendas, meeting minutes; organizing room bookings, conference/meeting requests and catering; tracking and submitting payroll accurately; provide coverage and assistance to other program administrative positions as required; understanding of, compliance with, and commitment to, workplace safety responsibilities and corresponding Academy plans, policies and procedures.

QUALIFICATIONS:
  • Minimum of two years relevant experience
  • Experience with persons living with memory loss preferred
  • Proven communication skills with an ability to quickly establish a rapport and respectful relationship with individuals
  • Excellent computer skills: Outlook, Word, Excel, Access and PowerPoint
  • Working knowledge of telephone system, photocopier, fax machine, printer and various other office equipment
  • Excellent time management and organizational skills; detailed oriented; flexible with the ability to work under pressure
  • Proven ability to effectively prioritize workload and manage competing priorities
  • Exceptional customer service skills required with a keen ability to listen, troubleshoot when necessary and resolve
  • Excellent verbal, written and interpersonal communication skills; especially listening skills
  • Familiar and comfortable with interacting with those living with dementia
  • Ability to function well independently and in a professional manner
  • Demonstrated ability to maintain confidentiality
  • Willingness to implement new initiatives as required
  • Excellent attendance history
  • Must be proficient in English
