Internal Communications Specialist

Vancouver Island Regional Library is looking for an Internal Communications Specialist to join our Communications Team. This position is located at our Communications Office in Nanaimo.

The Internal Communications Specialist is responsible for executing Vancouver Island Regional Library’s (VIRL) internal communications strategy and contributing to an internal culture of engagement, excitement, and collaboration with clear, consistent communications for staff of every level and location.

By leveraging various media, the Internal Communications Specialist will develop content, including news, updates, contests, feedback mechanisms, and opportunities for staff to engage with the organization and feel connected to the decision-making processes at VIRL, and each other.

Reporting to the Director of Corporate Communications and Strategic Initiatives, this position will play a leading role in creating a culture of collaboration and connectivity at VIRL and will investigate solutions that remove barriers to communication, ensuring that all VIRL staff have equal access and opportunities to engage and interact with the organization.

Representative Duties:
Leverage VIRL’s internal communications strategy and execute it effectively across the organization;
Develop and execute internal communications activities that highlight staff, accomplishments, and foster an environment of connectivity and inspiration;
Ensure organizational initiatives and projects are successfully communicated to employees and internal stakeholders;
Plan, edit, and write content for a variety of internal communications mediums, such as the staff intranet, email, and other identified digital applications;
Support staff at every level of the organization in their internal communications objectives;
Deliver training to staff as required;
Ensure internal communications messages are consistent across all mediums and for different departments of the organization;
Create opportunities for staff to feel connected and participate in discussions across the organization;
Engage with staff system-wide to understand internal communications challenges, opportunities and wins;
Tell “the VIRL story” to staff so that everyone feels connected to one another whether they live in Sooke or Sointula. Keep a finger on the pulse of what’s happening in the organization;
Use internal website content management expertise to ensure that VIRL’s intranet is organized as a useful and intuitive tool for staff, and as a go-to place for news, updates, and information;
Other duties as required.

Required Knowledge, Skills & Abilities:
Proven track-record of developing and deploying strategic internal communications plans with demonstrated measurable success metrics;
Deep understanding of internal communications best practices and approaches;
Effective interpersonal, analytical and organizational skills;
Attention to detail and accuracy;
Creative problem-solving skills and group facilitation abilities;
Excellent verbal and written communication, ability to communicate effectively across platforms and media, and craft “stories” from employees and research;
Demonstrated ability to work effectively with staff from every level of the organization;
Proven ability to implement, inform, and work within developed framework of policy and procedures;
Proven ability to multi-task, problem solve, teach, facilitate, role model, mentor, and act as a resource for VIRL staff;
Demonstrated ability to exercise initiative, tact, leadership, and independent judgement;
Must be highly flexible, able to work independently or as part of a dynamic team and maintain confidentiality;
Ability to effectively use a variety of software and applications, including the Microsoft Office Suite, Sharepoint CMS, social media, and other communications media;

Required Education & Experience:
Post-secondary degree in digital media, marketing, or communications with a minimum of (2) years (full-time) in a similar role or;
Diploma in digital media, marketing, or communications with (3) three to five (5) years (full-time) in a similar internal communications role;
Demonstrated experience developing and executing successful internal communications activities in large, multi-stakeholder organizations;
Experience with a public library or other public institution considered an asset;
Experience managing and maintaining content on an organizational intranet;
Experience communicating effectively in a variety of formats, including in-person and across an array of digital channels.

You are required to have a valid BC Driver’s License and will also be required to satisfactorily complete a Criminal Record Check (Working with Children & Vulnerable Adults).

This is a CUPE Unionized position providing an hourly rate of $30.79 per hour.
