Reporting to the Corporate Director, Workforce Scheduling and Labour Relations, and supporting the Director of Labour Relations (HR Centre of Expertise), the Director of Workforce Scheduling and the Managers reporting to them, the Administrative Assistant provides senior administrative and secretarial support to the senior leadership team of the Workforce Scheduling and Labour Relations portfolio. Responsibilities include managing calendars; establishing priorities regarding requests for meetings; receiving and handling calls and correspondence; assisting with administrative projects and providing a critical role in the flow of information within the Office. The Administrative Assistant interacts with stakeholders, at all levels, in a fast-paced environment, often under pressure.
The Administrative Assistant is responsible for maintaining a wide variety of confidential files on a number of issues including human resources and labour relations, and for budgetary monitoring and reporting.
Education, Training And Experience
A level of education, training and experience equivalent to Grade 12 plus additional related course work in office or business administration and seven (7) years' related experience in a large complex organization, preferably in Human Resources.
Skills And Abilities
Ability to demonstrate tact and discretion in preparing, disclosing and handling information of a confidential and/or sensitive nature
Ability to communicate effectively both verbally and in writing including the ability to respond diplomatically to both internal and external inquiries
Ability to work independently and to resolve administrative issues/problems
Ability to use related equipment including word processing, spreadsheet and presentation software at an advanced level
Ability to type 60 words per minute
Aptitude to be proactive requiring minimum direction
Strong sense of teamwork
Demonstrated ability to make decisions/problem solve within predetermined guidelines
Excellent organizational skills and ability to prioritize workload and work under time pressures to meet deadlines
Physical ability to carry out the duties of the position
