Primary accountability include order processing, product purchasing and acknowledgments, exception management, invoicing and credit card payments and reception relief. Adhere to the Company safety policy i regarding identification and prevention of unsafe working conditions both in the office and at off-site locations. Our target goal is zero LTI (lost time injuries).
Responsibilities and Duties:
Reviews and proofs orders for basic information (ship to, bill to, account number etc) for accuracy and completeness
Makes changes to and updates orders as required after the orders have been converted.
Search and enter all customer site ID’s
Disperses orders including install worksheets and job jackets with acknowledgment dates
Oversees daily invoice run
Monitor status of open orders, goods not received, POs not acknowledged etc.
Manages order process breakdowns (Hedberg, auto-pricing, etc), investigates problem and resolves in a timely and appropriate manner
Research accounting problems as identified by A/R, A/P or management.
Manages and sends Purchase Orders to vendors
Ensure exceptions regarding product, price or quantities are resolved
Track down missing or late shipments, monitoring shipping status including checking acknowledgments against order requirements
Provide guidance and advice to co-workers regarding systems and processes
Credits/invoice revisions for customers as required, creates Pro-forma invoices as needed
Takes payments from clients for invoices
Search, verify or create all customer Site IDs
General paperwork, filing, office duties as required
Provide reception relief for lunches and breaks
