AECOM is seeking a Subcontracts Support Coordinator to join our IOL Kearl Shutdown team in Fort Mackay, Alberta. This is a temporary position and shift rotation may vary from 10 day on and 10 day off to 6 day on 1 day off.
Maintains adequate general and technical documents and periodical subscriptions related to projects, with the use of internal document control systems or client specific tools.
+ Works under limited supervision under Supply Chain Management/Contract Management.
+ May take on several components of a project.
+ Troubleshoots problems of medium complexity and recommends appropriate action.
+ Project size could range from low to medium complexity.
+ Provides document management and Supply Chain Management support which includes the receipt, inventory, audit, tracking, storage, retrieval and distribution of both classified and unclassified electronic, paper and other media project data and documents according to company policy, and proper procedures for the projects.
+ Manages the set up and maintenance of document control / records management for multiple projects and Project Managers.
+ Ensures that all local practices and activities comply with company policies and procedures.
+ Review and filing of subcontractor LEMS.
+ Action travel requests for subcontracts.
+ Completes and distribution of daily variance reports.
+ Completes and distribution of subcontractor reports.
+ Tracking of all subcontractor hours
+ Completes subcontractor sign in sheets and prepare work packages as required
Conditions of Employment for this position are:
1. For positions that fall into the list of required positions within the AECOM Oil & Gas Alcohol & Drug (A&D) policy, qualified applicants who are offered, and accept, a position must provide evidence of a satisfactory Alcohol & Drug test in accordance with the Company's Alcohol & Drug Policy. In order to be valid, the test must have been conducted at the direction of AECOM - O&G Business Unit.
+ High School Diploma + 4 years of experience or demonstrated equivalency of experience and/or education
+ Proficient in MS office (Word, Excel, Outlook)
+ Strong computer skills
+ Strong organization skill and detail-oriented
+ Construction Safety Training Systems (CSTS-09 or 2020)
+ First Aid Ticket
+ Able to travel and work at remote camp environment
+ Good working knowledge of document management system is preferred
+ Strong administrative and document controls experience is preferred
+ Previous experience in project management / subcontracts / SCM / document controls is an asset
+ Some construction / maintenance services knowledge/background is an asset
+ Previous project experience working on outage, shutdown and/or turnaround will be preferred
