Position Overview
In this role, the Executive Personal Assistant provides direct support, at executive level to the President of Green City Communities. This role’s responsibilities are hybrid in nature – professional and personal.
Key Functions & Duties
- Manage President’s calendar and ensure it is coordinated between business and personal appointments
- Manage business and personal contact lists
- Manage incoming regular and electronic mail and other material and co-ordinate the flow of information internally and with other departments and external parties
- Prepare, edit and proofread correspondence, speeches, meeting agendas, expense reports, invoices, presentations, brochures, business reports and summarize key discussion points from meetings
- Manage/ track manual and computerized confidential information files
- Book business travel and family vacations
- Organize speaking engagements
- Create expense reports
- Complete personal errands
- Plan business and personal events
- Research, hire, and supervise vendors and contractors for home projects
- Ensure the routine maintenance of homes and vehicles
- Provide reporting to President on progress of projects
- Greet clients, investors and business visitors
- Liaise with all internal and external parties on behalf of the President
- Organize business development events
Skills & Qualifications
- Post-secondary education (College Diploma or University Degree)
- Minimum 10 years of executive/ personal level administrative experience
- Excellent organizational skills: able to work independently; be flexible, multi-task, ready to pivot at any moment’s notice when urgent matters arise; manage time-sensitive tasks and confidential information
- Excellent professional communication skills (verbal and written)
- Professional, personable and positive attitude
- Excellent knowledge of Microsoft Office Suite
- Must have a valid DL and a vehicle
- Mandarin – an asset

Salary: $40,000.00-$45,000.00 per year
