This is accomplished across four geographic management zones which are responsible for the operation of acute care health centres and the provision of a variety of inpatient, outpatient services including academic, tertiary, quaternary care and community-based programs and services including continuing care, primary health care, public health, and mental health and addictions.

Responsibilities
The Executive Assistant must be a dynamic, high-energy individual with proven organization and time management skills. The role is responsible for providing comprehensive administrative support to the Vice President by effectively coordinating the day-to-day operation of the Vice President’s Executive Office and the research and innovation portfolio. The position provides leadership and coordination for all administrative activities, establishes administrative procedures and guidelines and acts as a liaison within the portfolio. This position acts as the first point of contact for the office of the Vice President, managing relationships and communications with key stakeholders, and coordination meetings and events, as required. The position may provide additional support to individuals, committees or working groups as assigned, as well as supports other members of the Executive Leadership Team on occasion.

Qualifications

Post-Secondary diploma in a recognized office administration, business administration or secretarial program
Undergraduate degree is an asset
Experience in a Research environment an asset International Association of Administrative Professionals (IAAP) certification is an asset
Requires a minimum of 5-7 years’ of progressively responsible experience, providing superior administrative support and knowledge of administrative protocols, office procedures and practices at the executive level, preferably within healthcare and within an integrated service model provided throughout several locations with multiple partners and stakeholders
Excellent communication, interpersonal, prioritizing and organizational skills
Demonstrate exemplary customer service skills (high degree of diplomacy, tact, discretion and good judgement)
Ability to make solid business decisions, problem-solve and simultaneously handle multiple job tasks and/or priorities
Demonstrated ability to understand and assess priorities of all requests
Proven ability to plan effectively, meet deadlines and seek out or develop innovative solutions to support planning and execution of work Adaptability to unanticipated changes, ability to prioritize and multi-task within a fast-paced environment
A commitment to collaboration and a joint-accountability approach Demonstrated competencies requiring advanced skills and abilities in all facets of modern office practices and technology and with information and meeting technologies
Experience utilizing technology in meeting planning to create efficiencies and streamline tracking and retrieval of information
Competencies in other languages an asset, French preferred
