Title: Executive Personal Assistant
Duties and Responsibilities:
- Book and arrange Executive's personal and clients’ appointments, such as restaurant reservation etc.
- Review new client list and arrange Executive's time schedule which can maximize the benefits among clients, staff, external services providers, personal matters, etc.
- Assist Executive to follow up meeting agenda and any follow up tasks to be submitted to Executive
- Provide all administrative support to Executive
- Complete life and investment application forms with accuracy and ensure Paraplanners to complete application forms, saving files in OneDrive and CRM system with accuracy
- Manage timeline and provide weekly report for the progress of the above tasks
- Organize and execute company events, such as staff appreciation event, Christmas party, teambuilding event, client appreciation event, etc. with the assistance from other staff
- Reply to Executive’s personal clients’ enquiries
- Execute a list of operational improvement tasks to help enhance operational efficiency
- Carry out ad-hoc duties as required
Qualifications:
- Bachelor Degree in Business Administration or equivalent
- At least 3 years of experience in the business work environment
- Fluency in English and Cantonese required
- Excellent verbal and written communication skills
- Proficiency in Microsoft Office application, including Words, Excel, Power-point and Teams
- Attentive to detail and well organized
- Ability to work independently and efficiently in a fast-paced environment
- Proactive personality
- Capable to handle and prioritize multiple projects simultaneously
- Knowledge of financial industry preferred but not required
