This role is a 4-month contract opportunity.
JLL is currently seeking a Marketing & Administrative Assistant to join its Capital Markets Brokerage Team in Montréal, Québec. The chosen candidate will work with a diverse group of stakeholders at all levels of the organization, and will require the independent judgment to plan, prioritize, and organize a diverse workload in a fast-paced environment. This role provides a wide variety of marketing and support services to the Brokerage Team and the successful candidate will be detail oriented with strong organizational skills and a team player attitude.
Work closely with a team of brokers to ensure that all administrative, marketing and communications needs are met
Collaborate with marketing team in developing and assembling sales aids.
Support in developing, outlaying and assembling proposals, presentations, flyers, brochures, and any other additional sales aids.
Translate all promotional documents from English to French and vice-versa.
Support on communication efforts, both internal to JLL stakeholders or external to the clients
Develop web content and email blasts
Coordinate direct marketing and other advertising sources
Maintain a database for marketing purposes using our national Customer Relationship Management software (Apto)
Conduct research on a variety of individuals, companies, markets, and industries to support the business development initiatives of the Brokerage Team
Organize, update, and manage expense forms, reports, invoicing, as required
Coordinate and organize travel arrangements
Manage the distribution of direct mail and couriers
Filing, as needed
Any other reasonable duties and responsibilities assigned.
Minimum of 2 years of relevant work experience required, or equivalent combination of education and work experience Experience in the commercial real estate sector is a definite asset
Must have strong organizational and time management skills
Must be able to adapt and prioritize, meeting deadlines, in a fast-paced, high pressure environmentMay require on-call activity after regular office hours
Fluency in French is a must.
Previous design experience is a definite asset.
Must operate with a sense of urgency, quickly responding to brokers’ demands
Must have excellent verbal and written communication skills
Must have a professional yet personable demeanor
Must be able to work well independently with an ability to work collaboratively with others
Must be detail oriented with strong analytical skills
Must be proactive and take initiative
Must be able to maintain confidentiality, utilize judgment, and work with minimal supervision
Strong proficiency with all applicable software packages including but not limited to MS Windows; MS Office (Word, Excel, Outlook, PowerPoint), Adobe Creative Suites (Photoshop, InDesign, and Illustrator)
Experience managing a client database system is an asset
Experience in matrix management organization is an asset
