In addition to administrative and clerical requests, the core responsibilities of this role would consist of heavy calendar management, travel arrangements, assisting with invoicing, billing, expenses, and meeting preparation. You also, understand and possess a high degree of confidentially and professionalism.

You are the "gatekeeper" for our CEO. You need to be able to quickly prioritize tasks and be able to manage multiple competing priorities. On any given day you may be helping with: advertising and promotions, drafting contracts, sales prospecting, project based work, setting appointments and other related tasks.

You will also be required to perform tasks of a more personal nature like dry cleaning pick-up and drop-off, school pick-ups and drop-offs on occasion, running the vehicles through the car wash, getting coffee and other related tasks.

The ideal candidate is an Executive Assistant or Senior Administrative Assistant who has prior experience directly supporting higher executives within a company, along with the ability to adapt to diverse personalities, overcome challenges that are out of scope, and demonstrate strong time management skills in a team.


As an Executive/Personal Assistant you would be supporting the CEO of the company.

Managing calendar and agendas for internal and external meetings

  • Travel coordination
  • Liaising with clients and external stakeholders; vetting emails and calls
  • Processing expenses and document review
  • Contract preparation
  • Client follow-up
  • Reporting including KPI’s and budgets
  • Invoicing
  • Preparing and formatting proposals and presentations
  • Sales related tasks
  • Posting ads on websites
  • Advertising and promotions
  • Social media savvy
  • Assisting with real estate sales activities as an unlicensed assistant
  • Advertising and marketing support
  • General admin related work, answering phone calls, printing, filing, scheduling conference calls, front desk coverage
  • School pick-ups and drop offs
  • Drycleaning pick-ups and drop offs
  • Vehicle washing pick-ups and drop offs

This role also includes personal tasks such as vehicle appointments, dry-cleaning pick-up/drop-off, occasional school pick-up and drop-off and any other tasks as assigned.

Assisting with business development is a key part of this role. The candidate should be able to shift gears quickly, attend client meetings dressed professionally and appropriately where required and have a “can-do” attitude.

  • Ability to start IMMEDIATELY or in 2 weeks
