Reporting to the Portfolio Manager – Central Region, the Property Manager is accountable for property management and aspects of lease administration for a portfolio of owned and leased retail stores in Ontario. The Property Manager is the Corporation’s subject matter expert on issues pertaining to the management of properties and obligations of the store leases and other legal agreements, and provides consultation on property matters to internal and external stakeholders.
What you’ll do
As a primary objective, minimize occupancy costs and risks and maximize occupancy revenue and opportunities for the assigned portfolio of properties.
In conjunction with the Property Administrator, audit year end invoices, rent notices and other statements submitted by landlords to identify savings from items charged in contravention of the lease.
Review monthly rent roll and explain any large variances and identify any corrections needed
Oversee and approve day to day work and priorities of the Property Administrator ensuring that work is complete, accurate and done in a timely manner, and provide support and mentorship to them.
Develop strong landlord / tenant relationships through appropriate communications and by acting as the key point of contact and liaison between the store operator or dealer and the landlord or other third parties on property management and real estate issues.
Ensure uninterrupted store operations by negotiating timely resolutions to property issues that arise between the landlords, the Corporation, our tenants and other third parties (e.g. adjacent owners).
Minimize the financial impact of location repairs on the business by reviewing landlord and tenant responsibilities under the lease and other documents, and providing recommendations to internal and external stakeholders.
Prepare invoices to recover shared costs from adjacent owners as outlined in reciprocal agreements
Support the real estate development team in the negotiation of lease renewals and amendments, and manage the Lease Renewal Approval process.
Prepare renewal/extension option notices for execution and send executed document to required parties.
Prepare standard Estoppel Certificates for execution when requested by landlords.
Prepare temporary site access/occupancy agreements.
Validate all requests for changes to landlord payee names or banking information.
Review and assess portfolio assets through periodic visits and the inspection of premises.
Lead special projects as assigned from time to time

What you bring
10+ years’ experience in Lease Administration and Property Management, at least part of which was with a retail tenant organization
$250,000+ career achievement of occupancy cost savings through a proven ability to be detail oriented, interpret leases and audit / analyze landlord billings
This position may have significant interactions with our store dealers. It is therefore important that the candidate can show a history of having acted with diplomacy and determination to quickly resolve issues between store operators, property owners and the corporation they worked for.
Able to exhibit knowledge of common property issues (maintenance and other) and experience with how to resolve them quickly and effectively.
Able to demonstrate cases of researching/investigating complex property and lease issues and negotiating a positive resolution to them.
A good understanding of common municipal property bylaws
Strong interpersonal, negotiating and communication skills (both written and verbal) are required.
Proven track record of building and fostering professional relationships with internal and external parties
Post-secondary education with a real estate / facilities, business, or finance and accounting focus.
Holds or working towards an accredited Commercial Real Estate designation such as
an RPA, CPM or FMA, or has equivalent experience.
Experience working with real estate and financial systems (e.g. Tango, Lucernex, Peoplesoft, JDE etc.) and able to learn new systems
Able to travel approximately 2 days per month and holds a valid drivers’ license.
