We are looking for an exceptional executive assistant who has excellent communication skills and upbeat attitude to join our marketing team.
The purpose of this position is to assist our Vice President Marketing, the employees and all visitors to the department by handling office-tasks, providing courteous and professional assistance via phone, mail, e-mail and in person making necessary reservations and being a helpful and positive presence in the workplace.
The ideal candidate is professional, resourceful, organized, service oriented and customer centric. Must have impeccable French and English oral and written skills, proficient with computers and office tasks. Most importantly, the administrative assistant should have a genuine desire to support the business requirements through positive interactions.
Handle office tasks and manages the agenda and follow up list of the Vice-President marketing.
Welcome and acknowledge visitors entering the product showcase (scheduling VIPs, visitors, employees, reservations and caterer).
Manage calendars: Plans, negotiates, and schedules meetings to accommodate managers and others. Uses discretion and judgment to determine priority of meetings.
Coordinates and schedules meetings, live meetings via Web-ex, with internal stakeholders and external contacts.
Coordinates team events, meeting rooms, visitor passes, and equipment as required. Drafts, collects and distributes supporting documentation.
Manages domestic and international travel arrangements.
Completes business expense claims promptly and follows up on reimbursements if necessary.
Prepares letters, memos and presentation materials for meetings.
Works with stockholders in other departments to gather data and trend information.
Organizes and maintains information that may be sensitive, confidential or technical in nature.
Utilizes time management and organizational skills to juggle responsibilities and strategize on efficiency and priority.
Anticipate the needs of others to ensure their seamless and positive experience
Identifies opportunities to improve work processes/flow to leverage own and department's workload. Keeps abreast of internal administrative policies, practices and guidelines.
5 years minimum of work experience in a similar role in a customer care, sales or marketing department.
Fluency in both French and English (Oral and written) is requirement.
AA Degree from an accredited institution or a combination of equivalent studies and work-related experience.
Proficient in technology and Microsoft Office suite (Word, PowerPoint and Excel)
