Position Purpose and Summary:
The Coordinator, Academic Records & Graduation is a primary representative of the Registrar’s Office functions to the internal customers of the University. The primary focus of the position is the verification of student records, including degree requirements.

Key Areas of Accountability:
The following work must be completed error free in all critical areas and completed in a timely manner.

  • Audit student records for degree completion
  • Maintenance of degree requirements in the Student Information System
  • Positive customer communications (Deans and Students), service and relationships
  • Degree requirements
o Prepare graduation audits Match courses, electives, labs, and language requirements with degree specifications; verify whether degree requirements have been.

o Report deficiencies

o Respond to student queries and concerns within the scope of the Academic Calendar and/or program checklists, provide basic explanations/clarification

o Refer exceptions and disputes to the appropriate student advisor/decision maker

o Data input, prepare spreadsheets

o Prepare and distribute degree parchments

  • Database Maintenance
o Ensure programmatic changes are accurately reflected across all degree requirements in the Student Information System

o Review database logic to ensure maximum accuracy for student degree audits

  • Prepare and distribute official transcripts
o Transcript verification for employers, other universities or other bodies

  • Graduation ceremonies
o Coordinate all student-related graduation ceremony arrangements (e.g. gowns, degree parchments, student communications re graduation ceremonies)

The Person:
Skills and Abilities

  • Strong oral and written communication skills.
  • Very strong computer/software skills, including the Microsoft suite of software: spreadsheet, word processor, database (Outlook, Excel, Word, Access and others) and ability to learn new software applications. Database experience is required.
  • Personal qualities: Planning and organization, Time management, Attention to detail, Accuracy / precision, Flexible, Customer service, Adaptable to change, Willing and able to learn, Problem-solving, Judgment, Political sensitivity, Team oriented, Cooperative.

Reports to: Associate Registrar

Standards & Requirements:
Education: Bachelor’s Degree Required. TWU Preferred

Experience: 2-3 years of directly related experience required.
