Department of Medical Oncology & Hematology – CCMB Sites

Reporting to the Administrative Assistant II, the incumbent is responsible for providing a wide variety of secretarial support to the physicians in the Department of Medical Oncology and Hematology. Duties include electronic and paper file management, preparation of documents including confidential correspondence and research grants, arranging all aspects of travel, organization of meetings and rounds including preparation of agendas/notices, recording and preparation of minutes, assisting with education and research duties, and maintaining multiple schedules. The incumbent assists with special projects, event planning, and other related duties as required. The incumbent has the ability to coordinate workflow and meet deadlines with frequent interruptions, exercises sound judgment, maintains confidentiality, and is willing to assume a variety of assignments as required. The candidate must be a self-starter, have the ability to work independently or in a team setting with minimal supervision and be capable of carrying out the duties of this position with diplomacy, tact and professionalism. This position will be working in an administrative office, not in a direct clinical setting. Mobility between MacCharles and St. Boniface sites may be required.
Completed Grade XII, Manitoba standards or equivalent
Proof of successful completion of 40s English course or equivalent
Successful completion of a recognized secretarial training program, or the equivalent in education and experience as determined by CancerCare Manitoba
One year of experience in a secretarial role with team experience within a health care setting
Medical terminology, transcription, and minute taking skills
Demonstrate proficiency in the use of Microsoft Office (Word, Excel, Power Point and Outlook)
Must be able to legally work in Canada

Ability to liaise with staff at all levels in the organization and ability to maintain a high level of confidentiality
Will be assessed during the testing process:
Written communication skills – Written composition test (70% passing benchmark)
Medical Terminology Test (70% passing benchmark)
Computer keyboarding skills of 30 wpm with high degree of accuracy
Previous experience within a health care setting
Experience working in a medical oncology environment
Ability to speak French

Minimum Language Requirements:
Applicants whose first language* is not English and who have not successfully completed a Manitoba Grade 12 40S English course or equivalent will be required to meet one of the following English language proficiency requirements:
TOEFL- a minimum of 550 (CBT-213) on the PBT (Paper-Based Test), or a minimum of 213 on the CBT (Computer-Based Test), or a minimum of 79-80 on the IBT (Internet-Based Test)
CanTest - a minimum band level of 4.5 in Reading and Listening, and 4.0 in Speaking and Writing
IEL TS - a minimum band of 6.5 in Reading, Listening, and Speaking, and a minimum of 6.0 in Writing
MELAB - a minimum final score of 80 with a minimum of 77 in Writing
CAEL- a minimum overall result of 60 with a minimum of 60 in Writing
Successful completion of AEPUCE (Academic English Program for University and College Entrance) offered through the University of Manitoba and Red River College
