Title: Reception/Concierge
Job Type: Full –time, Regular

Location: 2600 Laurier Blvd, Suite 750, Sainte-Foy, CA-QC, G1V 4C3

Description of tasks:

· Greet customers and / or visitors as soon as they arrive at the office

· Inform the employee when the visitor arrives or direct them to a meeting room

· Management of visitors and colleagues access cards

· Maintain office security by following security procedures and controlling access through reception

· Receive and route phone calls

· Take phone messages, as needed

· Ensure the reception and rapid distribution of faxes

· Receive, sort, and ensure the rapid delivery of mail

· Prepare shipments by courier and ensure pick-up and fast delivery

· Make photocopies and digitization

· Ensure the cleanliness of the reception area, meeting rooms, employee kitchen, front desk kitchen and photocopier room is maintained at all times

· Replenish the paper in the copy machine on a daily basis

· Management of conference room bookings

· For customer or special meetings, beverages should be prepared (coffee and water) as needed

· Occasionally conducting research from various sources (Internet, etc.)

· Order office supplies, hygiene products and coffee (milk and cream) and maintain inventory

· Keep the employee telephone list and office layout plan up-to-date

· Order meals as needed

· Employee Movement Management (notify the person responsible for taking the photo for the ID card, preparing the slide on behalf of the employee, updating the telephone list and the layout plan)

· Service call management in Cominar to place service calls.

· All other assigned administrative tasks or other duties as assigned.


· Adhere to company dress code, with no sacrifice to professionalism.

· Good knowledge of French and basic notion in English

· Computer literacy (Word, Outlook)

· Easy learning, autonomy, ability to communicate effectively

· Good sense of organization and customer service

· Ability to work in a team

· Punctuality

· Maintain a clean and tidy workspace

· Good management of priorities
