Job summary

Under the general direction of the Director, Human Resources, the Professional Development Assistant is the primary support to the Joint Professional Development Committee and is responsible for the administration of professional development applications and funds. The position assists Senior Advisor, HR positions with administering the online evaluation program for faculty, staff, and exempt performance reviews.

This role develops guidelines, policy and procedures to assist in the administration of all professional development applications to ensure compliance with process and policy required by the Joint Professional Development Committee, the Collective Agreement, and Finance policy and procedures.

Key responsibilities will include:
APPLICATION PROCESSING & ADMINISTRATION

Reviews, processes, and identifies/addresses anomalies for professional development applications.

Completes preliminary review of all professional development applications prior to submission to the Joint Professional Development Committee to ensure application meets guidelines and policy
Confirms professional development eligibility and funding allotment for employees

Process and monitor accounts related to the professional development fund.

Tracks and processes substitute time sheets
Posts activity expenses into professional development and training and development accounts
Manages requests for advance of professional development funds

REPORTING & RECORDS

Assists with creating and analyzing statistical professional development reports.
Runs reports pertaining to hourly employees for allocations (FAST)
Monitors outstanding PD applications
Prepares various annual reports

COMMUNICATION

Provides clarification and information on professional development matters to employees.
Notifies individuals of non-approved activities and provides explanations
Meets with JPDC Chair to review and troubleshoot applications
Provides information to employees regarding PD application processes, rationale write-ups, and funding avenues
Liaises with ITS Systems Analyst regarding changes to templates/reporting interface of PD processing screens
Supports the JPDC Committee as Committee Assistant

PERFORMANCE MANAGEMENT

Assists Senior Advisor, HR positions with online evaluation program for faculty, staff, and exempt performance reviews.
Ensures evaluations are carried out according to established UFV and Collective Agreement procedures

FACULTY SABBATICALS

Provides administrative support for the annual issuance of approved faculty sabbatical memorandums and travel risk agreements
Tracks signed agreements and updates all information into the faculty sabbatical database
Works in partnership with decanal offices to ensure accurate faculty eligibility lists are maintained
Qualifications

Completion of two (2) years of post-secondary (diploma) in related field
Three (3) years of current related experience is also required
Considerable computer knowledge including Outlook, Excel, Word, internet and internet-based programs
Proven ability to be flexible, manage tight deadlines, stress, and the ability to multi-task
Attention to detail including proven ability to provide highly accurate data entry
Proven ability to communicate effectively and to provide service to employees in a professional, respectful, positive and courteous manner
Proven ability to handle confidential information and made sound decisions within the limits of established policies and procedures
Proven ability to establish and maintain positive, effective working relationships in a team environment at all times
Proven organizational skills and an ability to work independently with frequent interruptions
