The opportunity: Located in Toronto, Ontario at 99 Gerrard West, the Leasing Assistant will report to the Leasing & Resident Experience Manager and will play an integral role in the successful lease up of 99 Gerrard West, a new-to-market rental development offering 275 luxury rental suites with market leading amenities. This newly developed building will begin leasing in May, with occupancy and move-ins in July 2020. The successful candidate will assist in the leasing and administrative functions required to successfully lease all suites at the new property. In order to be successful in this role, the candidate will demonstrate strong relationship building skills, a passion for the project and the immediate market, and the ability to build value around the lifestyle proposition offered at 99 Gerrard West. A passionate people-person and detailed project administrator, the incumbent in this role will ensure diligent scheduling (including appointment confirmation and follow up), input of data in property tools and technology, and be comfortable conducting leasing tours when required.
What you will do:
Marketing and Leasing
Provide prompt and courteous service to prospective and current residents, focusing on their individual needs and wants, by replying to e-mail and phone inquiries and scheduling leasing appointments
Respond to leasing inquiries in order to secure an appointment to view the property
If required, conduct property tours and show available suites to prospective residents with the view to obtaining a commitment to lease
Perform follow-up calls with prospective residents to overcome objections and reinforce the benefits of living at the property
Assist in the maintenance of the customer database and ensure that all leads, traffic, and interactions are documented appropriately
Maintain a comprehensive knowledge of product, including availability of suite types and layouts, common areas and amenities of the building, surrounding neighbourhood, and value-added services provided
Conduct move-in inspections and property orientation with new residents
Resident Relations and Customer Experience
Assist in the processing of new applications by ensuring accuracy in form completion and follow up with references
On-going communication with new resident to ensure that all required details are provide related to move-in, elevator booking, etc
Reporting and Administration
Ensure timely and accurate completion and entry of all leasing documentation, including application forms, Tenancy Agreements, renewal agreements and other supporting documentation
Ensure that all deposits are paid and deposited in a timely manner and entered into the property management system (PMS)
Embrace and pro-actively support BentallGreenOak’s culture of environmental sustainability, and corporate and social responsibility
Other related duties as assigned.
Experience – 1+ years’ experience in customer service, residential property management, hospitality, seniors housing, real estate sales or marketing
Education – High School diploma supplemented with post-secondary courses in Business or Real Estate Administration
Relationship Skills – Excellent oral and written communication and presentation skills; ability to develop and sustain cooperative working relationships with prospects, residents and internal staff
Organizational/Multi-Task Skills – Ability to allocate one’s time effectively, work under pressure and manage tight deadlines; ability to achieve quality results; ability to handle multiple demands and competing priorities, and adapt to new ideas and constant changes; ability to use initiative and self-managing skills to work independently with minimal direction and respond effectively to issues that arise
Computer Skills – Intermediate skills in Excel, Word, Outlook; familiarity with Yardi or other customer relationship management (CRM) system is an asset
Availability - Flexibility in hours to ensure availability for last day of each month and the first two to three days of the beginning of the month in order to accommodate move ins and higher traffic periods. Evening and/or weekend work required
Knowledge – Some understanding of applicable laws, legislation and rights concerning resident/landlord relations is an asset
Police Clearance – A criminal verification check is required for employment
