The Events and Division Coordinator supports the preparation and execution of CCUA’s annual National Conference as well as smaller events and forums. The Event & Division Coordinator will work on many aspects of the conferences including registration, exhibit/sponsor support, speaker support, customer service and administrative tasks as required. Working with the Learning and Conference events team, the Event Coordinator’s key responsibility will be to support the successful execution of our flagship events which might involve travel to conference event locations 1-3 times per year. This role preferably requires familiarity with event registration system as well as revenue-generating events and processes, and an experience using Mail Chimp, Constant Contact or Word Press. In addition, The Event & Division Coordinator will provide administrative support to the VP, Professional Development & Events.

Key Responsibilities:
Event Coordination
  • Overall support and assistance for all conference planning
  • Plan and execute logistics for all conference and events
  • Manage multiple, complex timetables successfully in a collaborative and fast paced environment
  • Liaise with finance team on delegate registration, sponsorship invoicing and refunding
  • Update exhibitor documents: Prospectus, Exhibitor Contract, Sponsorship Opportunities and Policies & Guidelines
  • Compile, proofread, upload content descriptions for app, online and print promotion
  • Follow-up with exhibitors on payments and assist with collections as required
  • Support the Opening Reception and National Awards Gala as required
  • Creating and setting up event floor plans including trade show, concurrent sessions, food & beverages, main stage and National Awards Gala
  • Create and update daily protocols for conference and day schedules
  • Preparation of speakers and VIP materials including production and function schedules
  • Create speaker master grid and speaker confirmation letters as required
  • Assist delegates with conference event planning and project coordination inquiries
  • Produce survey for delegate feedback on sessions and overall conference
  • Maintains high level of accuracy for delegate and sponsor event reporting
  • Review and complete post conference invoices
Administration
  • Provide executive assistance support to VP, Professional Development & Events
  • Provide administration support to events, tracking registration, sponsorship and exhibitor’s income activities
  • Ensure cohesive collaboration with members and a consistent experience regarding CCUA messaging, products and brand
  • Attend meetings as required, contribute and provide feedback and solutions
  • Manage conference inbox requests and questions
  • Produce and maintain sales status reports comparing actual to targets for Registration, Trade Show & Sponsorship
  • Create overall registration set-up requirements for all events prior to event dates
  • Manage events and education website pages in Word Press
  • Creating new customer accounts for new clients and partners (sponsors and exhibitors)
  • Process all exhibitor and sponsorship applications in our event software
Event Registration
  • Create registration site for each conference
  • Manage payments, credits, refunds and the general accounting requirements
  • Input all registration data including; dates, time, prices, taxes, schedules, VIP Codes, airline and hotel information, artwork banners, and digital brochures
  • Provide updates on registration targets and progress to the executive team
  • Maintain conference registration attendee numbers ensuring all sessions are monitored and the CCUA session leads are informed on the status of delegate numbers
  • Manage customer relations & questions on registration with our members
  • Work closely with IT and Finance departments as required
Webinars
  • Provide overall Webex assistance when required
  • Set-up webinars on Webex and provide registration links to marketing team
  • Perform the role of CCUA host during webinars when required
  • Provide feedback and recording links to the marketing team
Executive Assistant to VP, Professional Development & Events
  • Manage calendar
  • Book travel and hotel information
  • Book meetings; meeting preparation
  • Process expense reports
Qualifications:
  • Diploma in event planning
  • Post-secondary degree or related experience in business related area
  • Minimum 2 years of event experience and Knowledge of event systems
  • Project management skills
  • Proficient in Microsoft Office suite of products
